Membership policies
All Prepaid memberships are non-refundable - There are only 3 reasons someone can cancel a prepaid membership:
• They die
• They move more than 25 miles from the club, and
• They have a note from a doctor stating that they cannot use the club

If a member does qualify for a refund, the months used will be charged at the current monthly rate, not a prorated amount as prepaid memberships are given price breaks. A refunded prepaid membership is considered month-to-month if it is canceled before the expiration date for one of the above 3 reasons.

If The Epicenter closes permanently, you will be offered a comparable facility within 10 miles of the club.  If a facility is not offered, you can cancel and receive a pro-rated refund of your initiation fee.

Prepaid memberships cannot be purchased for more than 12 months.  If you prepaid 12 months of dues and bonus months were added on, those bonus months are non-refundable under any circumstance.

All prepaid memberships continue on a month-to-month basis once the prepaid period expires. To cancel the account, the member must submit a written notice 30 days prior to the effective date of cancellation.

EFT (Electronic Funds Transfer) - All members joining on a month-to-month basis must pay their dues through EFT. With EFT, the member just authorizes their monthly dues to be paid on a specific date each month automatically through their checking, credit, or debit card. If they do not wish to do EFT, they must pay one year’s dues in advance. If the member’s account information changes from the original EFT set-up, it is the member’s responsibility to get new account information to the club. There will be a $20 fee assessed to the member for each instance or NSF or closed accounts.

Membership check-in - Each new member will be given a barcode keychain for easy, fast, convenient check-in. It is required that you check-in each time you enter the club but if you don’t have your barcode, you can check in with just your first and last name as your picture will be on the screen. Regardless of your consistency on using the club, you will be required to check-in on each visit.

Putting a membership on hold - If a membership is put on hold, there will be a $25 re-activation fee to make the membership active. Memberships can only be put on hold for the following reasons:

Military deployment - Must give a copy of military orders to the club.

Health reasons: Must have a doctor’s note and the maximum length of time to put a membership on hold for health related reasons, is 2 months.

Minimum age requirement - The minimum age to sign up for your own membership is 18. You must be 13 years of age to be added on to a membership and members 13-15 must be accompanied by an adult 18 years or older. Those aged 16-17 can join on their own membership but must a have a parent or guardian present when joining.

Transferring your membership - You can transfer your membership (“Founding” included) one time but if you do transfer a membership, you will not be able to get it back as memberships are only transferable one time.

Memberships cannot be transferred to a current or active member.

Cancellation of Membership - Cancellations must be submitted prior to the end of the month for your automatic payment to stop for the following month.  Once a cancellation request is received you will not have a withdrawal the following month and your last month’s dues will be applied.  For cancellations received through the mail, the date on the envelope from the post office will be the effective date of cancellation.

Example:  Submit a written notice on the 25th of the month…you will not have a dues withdrawal the following month.

Cancellations must be in writing and signed and cannot be submitted through email or over the phone.  It is the member’s responsibility to check with their bank to verify that their auto-payment has stopped.  The maximum refund for a non-processed, verified cancellation is 2 months of dues.  Check your bank statement.

Cancellation options:
1.
  You can cancel at the club.  You will receive a copy of your cancellation request.
2.  You can cancel through certified mail.  This way you can get proof of cancellation from the post office.
3.  You can cancel through general mail.  If you choose this option you must contact the club to verify that your membership was cancelled.  All cancellations are processed within 3 days of receipt.  If requested, we can send you a cancellation verification.  Again, if sent through general mail, you must verify with the club that the membership was cancelled.  If you mail a cancellation request through general mail we cannot guarantee that it will end up at the club so back dated letters will not be allowed as means for cancellation.  The only way to verify this form of cancellation is by contacting the club at 206-587-2673 and following up.  All memberships that have been cancelled have a “status” of cancelled which can be verified through the front desk.


Memberships that sign-up on-line or over the phone will be subject to all rules and policies based on their first visit to the club.

Past due accounts - All past due accounts will receive written notification of past due status. Monthly dues will not be charged after 2 consecutive months of past due status, but the past due amounts must be paid in full. Please remember that “Founding” members will lose their privileges if their account becomes past due.

Towel Service - A towel service is available for an extra fee of $20 per month. This fee will automatically be paid through EFT, with your authorization, added to your monthly dues. It can also be prepaid for 12 months with the prepaid option. To receive your towel on each visit, you must leave a photo ID or your barcode tag as collateral.

Locker room and locker usage:

  • Lockers are for day use only. Any belongings left in an unrented locker over night will be taken out.
  • Never keep valuables in a locker. The Epicenter is not responsible for any lost, stolen, or missing items.
  • The digi-locks work the following way:  A. Hit the “C” key to clear.  B.  Enter you own 4 digit code.  C.  Hit the lock icon picture to lock.   D.  repeat these steps to open.
  • Any member renting a locker agrees to the following terms and conditions:
    • Never keep any valuables in a rented locker.  The Epicenter will not be responsible for any lost or stolen items.
    • If payment is not made for a rented locker, the contents will be emptied.
    • If for any reason a rented locker is not recorded in the locker reservation book and the locker is opened and cleared of contents, the belongings will be kept in a bag with the locker number attached.  Because we are unable to verify contents, The Epicenter will not be responsible for any missing items.  For this reason, we reiterate that anything valuable should never be kept in a rented or unrented locker.  If the locker is opened and cleared due to employee error, the member will receive a free month of locker rental.
  • Shorts must be worn in the saunas at all times.
Refunds - If a prepaid membership refund is approved, the months used will be charged at the regular dues rate and the member will receive a prorated refund on the difference.

Memberships cannot be sold for more than 12 months. In most cases members who prepay will get bonus months added on for prepaying their membership. If a member cancels and is entitled to a refund, bonus months are never refunded or calculated in the refund. The first 12 months are the only months that can be refunded. If the refund is requested after the initial 12 month period it is bonus months and a refund is not allowed for those additional months that were given for free.

Specials - Any pricing purchased below the special being offered to the regular membership will not have an additional "Founding" or other discount.

Sponsorship - Members who are re-joining cannot be used as a sponsored member.  Sponsorship prizes and gifts are for first time members only.

Personal training/Pilates/Camps/Clinics
  1. All PT and Pilates packages and sessions are non-refundable if a cancellation request is not received within 3 business days of the purchase date. This includes any phone orders for personal training sessions. This also includes any monies paid for camps or clinics for members or non-members of The Epicenter.
  2. 3 day cancellation request: If a cancellation request is delivered or mailed within 3 days of the purchase date for personal training and Pilates sessions, a refund will be processed. A requested certified letter can be sent to: Epicenter Seattle - 1419 3rd Avenue, Seattle, WA 98101.
  3. Personal trainers or instructors are subject to change. Refunds will not be issued due to a personal trainer change.
  4. If for any reason The Epicenter facilities are permanently closed, the Epicenter must provide a facility within a 10 mile radius of the current Epicenter location. If a facility is not provided you may cancel the PT and Pilates contract.
  5. Each time a session is used the member must sign off on a session used form.
  6. If approved by management, PT sessions can be transferred from one member to another but the maximum sessions that can be transferred is 5 one hour sessions.
  7. There is a 24 hour cancellation policy on all training sessions. Members are liable to be charged for any session cancelled less than 24 hours prior to the scheduled appointment.
  8. All PT and Pilates sessions will expire if not used within 6 months of purchase.
  9. All PT and Pilates sessions must be paid in full within 30 days of purchase. If for any reason a package is not paid in full within 30 days, the client agrees to have those sessions deducted from their credit card or EFT on file.
  10. Personal training sessions cannot be used as Pilates sessions and Pilates sessions cannot be used as Personal Training sessions.  No exceptions.
Group Exercise
  1. You may register for classes 24 hours in advance with the front desk.
  2. Registration can be done by calling in your request or in person at the club. Registering for a class guarantees your spot up to class start time.
Tanning Policies
  1. Tanning can be purchased in individual sessions, packages, or monthly unlimited.
  2. The maximum tanning time is 10 minutes and a person can only tan once every other day, including the unlimited packages.
  3. Tanning reservations can be made up to 7 days in advance but you can only have your name in the reservation log 3 times. This allows all tanners the opportunity to book great reservation times.
  4. All tanners are required to wear proper eye protection.
  5. It is recommended to use an indoor tanning lotion.
  6. Only one person is allowed in a tanning room at a time.
  7. Children cannot be brought into the tanning rooms, Minimum age limit to tan is 16 years old.
Guest Policy
  1. All guests must register and fill out a guest profile card upon entering the club.
  2. Non-member guests wishing to use the club must pay a $15 guest fee, good for that day only.
  3. All non-member guests who are not accompanied by an Epicenter staff member must leave photo ID at the front desk.
  4. Non-member guests wishing to view the club must be accompanied by an Epicenter staff member, regardless of whether they are with a member, on a guest pass, or just walking in.
  5. Guests must follow all other policies including dress guidelines.

Dress Code
  1. Shirts, shorts or sweats, and shoes are required in all areas other than locker rooms.
  2. All areas require workout clothes such as sweat suits sweat shirts and pants, t’shirts, tank tops, etc.
  3. Shorts are required at all times in the dry sauna and steam rooms.
  4. Street clothes, especially jeans, are not allowed in any exercise area due to abnormal wear and tear on upholstery and flooring.
  5. Obscene language, pictures, or verbiage is not permitted on any clothing worn at the club. This will be determined at the full discretion of the club management.
Corporate Membership Policies
  1. To obtain a corporate membership, a corporate profile must be filled out by our Corporate Account Manager (CAM) and a corporate agreement must be signed.
  2. Once a corporate membership is obtained, it will remain current by:
    a. maintaining a minimum of 10 employees on a current membership at The Epicenter, or
    b. distributing the corporate rates 1x per month to all employees through email, internal notice, or paychecks, and allowing an Epicenter CAM do a corporate on-sight 1x per quarter
  3. All employees will save the enrollment and processing fees.
  4. Any employee wishing to join will pay their first and last months dues and will need to pay an activation fee at the current price to start.
  5. “Founding” membership privileges apply to all corporate employees joining during the “Founding” membership phase.
  6. If an on-site is not done once every 6 months, The Epicenter, at its sole discretion, can opt to cancel the corporate membership by submitting a 30 day notice to cancel or, bring the corporate to the current corporate dues rate.
General Policies and Guidelines
  1. All certificates and coupons expire after 12 months of the issue date if an expiration date is not listed.
  2. The Epicenter reserves the right to refuse service to anyone.
  3. The management may cancel any membership at any time in their full discretion. The canceled member will receive any prorated prepaid dues but they will not receive any enrollment or processing fees paid.
  4. All rules and policies are subject to change at any time.
  5. No smoking, tobacco products, alcohol, firearms, or drugs are allowed on the premises at any time.
  6. Any person smelling of alcohol or marijuana will be subject to loss of membership and must leave the premises immediately.
  7. Swearing is not allowed at any time in the facility.
  8. Any member who intentionally or aggressively tries to intimidate or verbally abuse a staff person or fellow member will have their membership terminated.
  9. Any person with health limitations must first contact a physician before using the facility.
  10. Epicenter, it director’s, owners, and employees, are not responsible for lost, stolen, or damaged items.
  11. All suggestions, requests, and complaints must be communicated on-line or at the front desk. Those leaving their name, phone number, or email address will get a response within 48 hours.
  12. Any member who joins over the phone or by email and does not sign their agreement, can be charged up to $20 per visit to the facility for each use.
Cardio & Weight Room’s
  1. You must wipe your machine down after every use.
  2. Please re-rack your weights when you are finished with the machine.
  3. Based on usage, there may be time limit for cardio machines during prime time hours.
